Job Description Summary
The Assistant Director for Communications & Events for the Office of New Student Orientation & Academic Initiatives (NSOAI) is a generalist position with an emphasis on graphic design and event planning. This person is responsible for creating internal and external messaging including print and digital materials, e-newsletters, social media content, etc. to students, faculty, staff, families, alumni, community, and professional groups. They are also responsible for assisting in the planning and execution of small- and large-scale academic, cultural, and social events, supervising student interns, maintaining websites and social media software, conduct research involving program assessment, analyzing data, and creating reports.

Job Responsibilities
- Event Planning & General Office Support: Manage a wide variety of orientation and transition events along with academic initiatives from planning to execution. Support office through material development such as fact sheets, PowerPoint presentations, recruitment videos, PennTrack maps, etc. Assist in the on-boarding, supervision, and evaluation of interns.
- Graphic Design, E-Newsletters, & Event Calendar: Responsible for all graphic design of print and digital materials. Manage all correspondence, content, frequency, and distribution for e-newsletters. Coordinate regular communications to campus partners regarding programming, grant opportunities, and marketing assistance.
- Social Media & Planning: Create original content and review content proposed/drafted by NSOAI staff and student interns. Pull reports, access social analytics, and schedule messages across all social profiles within Sprout Social. Manage consistency of style and brand to meet Penn guidelines. Direct relevant advertising strategies and budgets. Collaborate with other Penn groups, especially University Communications, University Life, and College Houses & Academic Services, on content amplification. Update and support long-term communications plan that defines goals, audiences, tactics and tools and provide direction for activity in several marketing communications areas. Draft and update plans for specific campaigns of limited duration.
- Websites & Application Management: Manage existing office website content, create new pages, and develop information on a daily to weekly basis through WordPress content management system. Review, analyze, and modify the University's online orientation program - Thrive at Penn (TAP) -through the Canvas learning management system. Explore opportunities for application development/procurement including areas of attendance tracking, conference management, volunteer shift platforms, etc.
- Customer Service, Public Relations, & Recruitment: Serve as office's primary contact for email, phone, and other communication channels. Liaison with various internal Penn constituents and external constituents. Coordinate tabling at events and other opportunities to market programs. Assist in the recruitment processes including NSOAI Student Internship Program, PHINS Orientation Leaders, Preceptorial hosts, and the Penn Mentor Meals Program.
- Assessment, Benchmarking, Research, & Reports: Conduct research involving program assessment, analyzing data, and creating/maintaining databases. Monitor metrics on websites, social media, newsletters, and advertising. Use data to assist in creation of monthly marketing communications reports that include web and social media analytics, public relations outreach, events, and advertising reach. Provide reports and present findings as needed.
Qualifications
- A Bachelor's degree and 2-3 years of experience, or equivalent combination of education and experience, are required. Master's preferred.
- Strong background with graphic design, social media, digital marketing, and online content management (WordPress) preferred.
- Experience with databases, spreadsheets, word-processing, Qualtrics, research methods, and IRB protocol preferred.
- Excellent organizational, planning, problem solving, and writing skills required.
- One or two years of administrative experience in a college or university preferred.
- Experience in managing student and/or part-time workers preferred.

- $42,000 - $65,000 commensurate with education and experience

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
